Critical Tasks

HTS will work with your staff to obtain critical task information including review of key documents, policies and interviews with key stakeholders. The review and interviews will result in a comprehensive list of activities to be complete prior to patient move. HTS will work with you to identify the timelines, schedules and critical stakeholders required to execute these tasks and the resources necessary to complete the activities.

Ongoing evaluations will be complete to determine which critical tasks require additional attention, resources and/or support. Recommendations for new strategies and/or reprioritizing critical tasks will be complete. HTS will also provide guidelines and budget assumptions to develop of a comprehensive transition budget.

Committee Deployment

HTS will work with your staff to determine the best committee structure and participants based on your current infrastructure with a goal of minimizing distractions from your daily operations. HTS will assist in the initial organization and kick off of committee meetings and participate in meetings to ensure effective execution of assigned deliverables. HTS will provide templates and/or suggestions for agendas, meeting minutes and tracking methodologies to support your committee structure. HTS will provide guidelines and include assumptions to assist in the development of a summary transition budget.

Ongoing participation in transition meetings and evaluations will be complete to determine which critical tasks need additional attention, resources or support. Recommendations for new strategies and/or membership will be complete.

Occupancy Planning

HTS will review key strategic documents to assist in the new hospital occupancy planning. HTS will work with your team to conduct interviews of impacted departments and develop new hospital occupancy plans, schedules, a licensing plan, and orientation and training materials. HTS will facilitate workflow planning for the new facility. Workflow will include interdisciplinary and department specific. The result of workflow is the content and issues that should be tested and confirmed during “Day in the Life”, a well coordinated interdisciplinary exercise that simulates and tests new work flow, equipment, and facility operations prior to Day 1 go live with patients. Ongoing evaluations will be complete to determine critical issues, conflicts and deal breakers. Recommendations for implementation of various tasks and ongoing communication will be presented on a monthly basis. Some of the deliverables include:

  • Confirmation of Patient Aggregation and Bed Allocation in the new hospital
  • Draft and final budgets for transition activities.
  • Identification of “deal breakers” and other major concerns will be identified and communicated to the appropriate owner(s).
  • New Hospital Licensing Plan.
  • Orientation and training manuals will be developed and distributed.

Ongoing evaluations will be complete to determine critical issues, conflicts and deal breakers. Recommendations for implementation of various tasks and ongoing communication will be presented on a monthly basis.

Move Planning

HTS will work with the logistics team to support the Fit-Up process and coordinate the development of a Fit-Up manual. The Fit-Up manual will facilitate the safe and controlled use of the building prior to patient move. HTS will work with representatives from all departments to develop a process for turnover and sign off of their respective spaces. HTS will implement a Facility Request Log process to track issues identified by hospital staff. The issues will be coded and prioritized based on their significance and impact to the project. HTS will work with your team to understand the current building logistics and special issue(s) related to moving. HTS will coordinate the development and execution of a move company RFP; conduct department interviews to develop a move sequence analysis; and complete a walkthrough of the building to identify any issues related to the move to be considered and/or included in the RFP. HTS will provide templates of move materials that have been tested and effective in other facility moves. HTS work collaboratively with your team to develop patient and department move materials. Evaluation of move strategies, assumptions and schedules will be complete to successfully identify and award a move company.
